Should you send your resume as a PDF or DOCX file?

Resume file format sounds like a small detail until the document opens incorrectly, loses formatting, or cannot be parsed well by an application system.
Both PDF and DOCX can be appropriate. The better choice depends on the employer's instructions, the application platform, and how much formatting control you need.
Follow the employer's instructions first
If the application asks for a specific format, use that format. Ignoring file instructions can create avoidable friction even when the resume itself is strong.
When no format is specified, PDF is often safe for preserving visual layout, while DOCX can be useful when systems or recruiters need editable Word files.
Use PDF for layout consistency
PDF files usually preserve spacing, fonts, and page breaks across devices. That makes them useful when your resume design needs to look exactly the same for every reader.
Before sending a PDF, open it after exporting and check that links, text selection, and page breaks work correctly.
Use DOCX when editability or parsing matters
Some employers, recruiters, and older systems prefer Word documents. DOCX files can also be easier to edit when a recruiter asks for a quick update.
Keep DOCX formatting simple: standard headings, normal text flow, and minimal text boxes or graphics.
Name the file professionally
A clear file name helps the recipient manage your application. Use your name, the document type, and optionally the role or company.
For example: Jordan-Lee-Resume-Product-Analyst.pdf is clearer than Resume-final-final-v3.pdf.
